Part-Time Finance Officer (Creative Industries)
Havent You Done Well Productions Brunswick, Melbourne
Published 22nd January 2026
Job Description
Finance & Admin Officer (Creative Industries)
2.5 days/week - Scope flexes slightly with production cycles
Melbourne (hybrid) & Flexible Hours
$45,000 + super (pro-rata), with scope to review as responsibilities and hours evolve.
Haven’t You Done Well Productions (HYDW) is on the lookout for a part-time Finance & Admin Officer to join our small but mighty team. We're home to Aunty Donna, Grouse House, and a growing slate of comedy productions, live events, and original content. With 20 staff across projects, we’re scaling up and need someone practical, efficient, and reliable to keep our finances tight and our reporting clear.
This role is hands-on and mid-level: strong bookkeeping + payroll + cost reporting + forecasting. No team management, but lots of ownership.
What You’ll Be Doing
Reporting to the Managing Director and working closely with Heads of Department, you’ll:
Bookkeeping (Xero): weekly reconciliations and coding; tidy ledgers, clean audit trail.
Payroll: monthly processing for ~20 staff (super, PAYG, STP).
Production accounting & cost reporting: set up job/series trackers (Xero Projects), monitor actuals vs budget, maintain commitments/POs, EFC/ETC, and variance notes; assist with wrap-outs.
Monthly group cost reporting to MD (HYDW-wide):
Consolidate HYDW, Aunty Donna, Grouse House, and Commercial into a single MD pack.
Include: Group P&L vs budget (with by-brand roll-ups), variance commentary, WIP snapshot, 13-week cashflow, AR/AP ageing, GST/PAYG/Super liabilities.
Flag risks/opportunities early with practical mitigations.
Deliver within 7–10 business days post month-end.
AP/AR: contractor onboarding, invoice management, and payment runs.
BAS/IAS: prepare and submit (monthly/quarterly).
Chart of accounts: maintain for clean, comparable reporting across projects.
Funding support: assist with grant acquittals and cost reconciliations.
Compliance: keep records audit-ready; ensure ASIC/ABN/ACNC details and filings are up to date.
Year-end: liaise with external accountants on annual company returns (provide tidy schedules and backups).
What We’re Looking For
Strong Xero proficiency across bookkeeping, payroll, AP/AR, BAS/IAS.
Process-driven, organised, and communicative, you keep systems clean and deadlines met.
Experience in small business or production companies (bonus: screen/arts/creative).
Working understanding of payroll, super, PAYG, BAS (not a tax agent role).
Self-starter who enjoys independent work and taking ownership.
Calm, reliable, deadline-driven - you bring order to the creative chaos.
(Nice to have) familiarity with production reporting concepts (EFC/ETC, commitments, variance notes)
What We Offer
A flexible part-time (~2.5 days/week) role where your work has visible impact.
Hybrid setup with an office base in Melbourne.
A supportive, creative team doing genuinely exciting and weird things in Australian comedy.
The chance to build tidy systems and reporting that scale with us.
Bonus Points For
Grant acquittals / Screen Australia reporting.
Production rhythms: budgeting, cost tracking/reporting, reconciliations.
Tools: Xero Projects, Dext/Receipt Bank, ApprovalMax, Google Sheets/Excel.

Description:
Founded by Aunty Donna, Haven't You Done Well Productions produces comedy videos that people can watch.
Creator Lead.
We want to work with the most interesting, unique and hilarious creators out there. At HYDW we’ll follow your lead even if it takes us to the gates of hell or to a swift bankruptcy.
Ethics and IP.
Where possible we want our creators to own the intellectual property of the projects they have created. To us your IP is yucky and we don’t want it.
Comedy specialists.
You wouldn’t get a mechanic to produce a multi million dollar comedy program. They’d spend all the money on car parts! We've been writing, shooting and cutting hilarious stuff for over 10 years (and making cars for about 3 years), so we're your one stop comedy specialists shop. And yes we have done very well indeed.
